Minutes of Open Meeting Wednesday 12 June 2019 at Jean’s house

Matters arising

1. Jean had agreed to contact a member about taking on publicity. She has had some email contact with her and will contact her again.

2. Valerie agreed to produce a balance list of all members accounts to be included in each newsletter

Valerie produced a detailed report on trading since the last meeting and we were pleased to see a big increase in the numbers of trades:

Balance of Organisation Account

A bumper month for trading with 193 trades (84 in the last period), with the value correspondingly up 690 Buzzards (375 Buzzards) previously. 

Member to member trades were up, 450 Buzzards, from 287 Buzzards over the last period.  Membership fees were up 96B from 52B, this would have been 106, but I deducted 10B for a new member’s opening balance.

Members expenses were similar this month 5 claims from 6 claims in the last period.  Most members claimed 6B but the figure is high at -128B because we paid 82B to Sue for a defaulted Buzzard transaction. 

The overall deficit of Organisation Account has risen slightly from -7,074B – 7,102B.

 

Membership

Bob reported that he had sent out subscription reminders to all members (other than those who had joined in the last year). So far 12 members have paid and bob will follow up the remainder in due course. We were pleased to hear that Janet (102) had included a donation of £5 with her subscription. Two members (Sandra 261, and Bill 262) have now left.


Facebook

Sue has posted updates about this meeting, the July walk and the Brunch.


Sterling Treasurer

Jean reported the account balance is now £188.05 (excluding 2 sub payments still to be paid in). We have not yet received invoices for room hire for the AGM or Sean’s expenses re website. From today the Sterling Treasurer role has been taken over by Mary (264).


Buzzard expenses approved:

Jean - 10 buzzards for minutes, and hosting this meeting.

Bob - 2 buzzards for managing subscriptions

Val - 6 buzzards for treasurer report

Sue - 2 buzzards for Facebook updates


Future Events

A number of members have responded to Jean's email asking people to say what events they would be interested in attending and whether they would like to organise an event.

Dates have now been fixed for two events:

1. Sunday 23 June - Brunch at the Vibes cafe - Valerie is organising this and will send out a reminder.

2. Sunday 14 July - Walk and pub lunch - Gill is organising this and has already sent out details to those interested.

Other events (chosen because they were the most popular):

3. Sunday buffet lunch at the Raj - Bob to contact members re preferred dates (likely to be 8 Sep, 6 Oct, or 13 Oct) later in the year.

4. Clothes and accessories trading event - Di had offered to host this. Jane agreed to contact Di to ask her to suggest a suitable date.

5. Quiz - Bob has agreed to organise another quiz, probably 9 November - Jane to check if St Barnabas hall is available.


Newsletter

Jane will email members to ask for a volunteer to produce the next newsletter  which is due in August. If no-one comes forward then Jane will do this one.


Any Other Business

The coordinators had received the message below from Pauline (13) who had asked us to read this out at the meeting:


I've been meaning to reply to one of these emails for some time. Just wanted to put in a vote of thanks to be read out at the next meeting for all the people on the committee for creatively finding ways to keep the scheme running. I'm not in a position to help at the moment, sorry, and I am enjoying seeing the ways that the committee are encouraging more people to be involved in big or small ways.
